Privacy Policy
This policy explains how Full Circle Transaction Tracker collects, uses, stores, and shares information when real estate professionals use the service.

Information we collect
We process information needed to operate transaction workflows, including:
- business identity and contact information, such as name, email address, phone number, role, and account identifiers;
- transaction, property, offer, condition, deadline, task, staffing, notification, and audit information entered into the service;
- authentication, entitlement, session, security, diagnostic, and service-usage information; and
- support communications you send to us.
Google Calendar and Tasks data
Google synchronization is optional and authorized separately by each user. We request your verified Google Account email, permission to create and maintain events on Google calendars you own, and permission to create, read, update, and delete Google Tasks.
We use Calendar access to maintain Tracker-generated events for time-blocked work, transaction dates, and conditions assigned to you. We use Tasks access to maintain reminder-style workflow tasks in a dedicated Transaction Tracker task list and to read whether those Tracker-created tasks were completed. Tracker remains authoritative for workflow state, ownership, and deadlines. Completing a Tracker-created task in Google is the only Google-side action that updates Tracker; the completion is validated during synchronization and recorded in the audit trail.
We store the connected Google email, an encrypted OAuth refresh token, connection health, the dedicated task-list identifier, and identifiers and synchronization metadata for Tracker-created events and tasks. We do not request Gmail, contacts, Google Drive, or full-calendar read access, do not use Tasks access to process unrelated task content, and do not use Google user data for advertising.
Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
How we use information
- provide, secure, maintain, and improve the service;
- authenticate users and enforce account permissions;
- operate deterministic transaction workflows and produce audit records;
- send workflow notifications and synchronize authorized Google Calendar events and Tasks;
- diagnose failures, prevent misuse, and respond to support requests; and
- meet legal, regulatory, and contractual obligations.
How we share information
We share information only as needed with authorized users and service providers that host or operate the service, deliver communications, or provide integrations you enable. This includes infrastructure and database hosting providers, Google for Calendar and Tasks synchronization, and email delivery providers. We may also disclose information when required by law, to protect rights or safety, or as part of a business reorganization subject to appropriate safeguards. We do not sell personal information.
Retention and security
We retain information for as long as needed to provide the service, preserve transaction and audit records, meet legal or contractual requirements, and resolve disputes. Google refresh tokens are encrypted at rest. We use administrative, technical, and organizational safeguards appropriate to the information processed, but no system can guarantee absolute security.
Your choices and rights
You can disconnect Google synchronization from the Calendar page at any time. Disconnecting revokes or removes the local authorization, removes Tracker-created Google items where possible, and stops future Calendar and Tasks synchronization; it does not alter authoritative Tracker records. You can also revoke access through your Google Account. To request access, correction, or deletion of personal information, contact us. Some transaction or audit information may need to be retained where legally or operationally required.
